LoadHub orchestrates your entire operation from customer inquiry through payment. Here's how a typical job moves through LoadHub — from the moment a customer calls to the moment you get paid.

  • 1. Customer Inquiry → Professional Quote

    A customer calls requesting transport. Your team opens LoadHub, enters the addresses and load details, and the system calculates distance and time using Google Maps. One click generates a branded PDF quote and emails it to the customer with an approval link.

  • 2. Customer approves → Job created automatically

    The customer clicks "Approve Quote" in their secure portal. The quote status updates instantly in your system. Your planner clicks "Promote to Job" and every detail transfers across — no re-keying, no gaps.

  • 3. Job scheduling → Driver and vehicle assigned

    The job appears in your unscheduled list. Your planner schedules it on the jobs calendar, selects the driver and vehicle, and the system checks for conflicts before confirming. Job status updates to "Scheduled" and the driver sees it immediately in the app.

  • 4. Driver picks up the job → Navigation starts

    The driver opens LoadHub Fleet, sees the job in their schedule, and taps to start navigation. Google Maps launches with turn-by-turn directions to the first collection point. GPS tracking begins automatically in the background.

  • 5. Stops completed → Office updated in real time

    At each stop, the driver taps "Arrived" then "Completed." Your live map updates the moment each status changes. When one stop is done, the app automatically navigates to the next — no phone calls, no manual updates.

  • 6. Job complete → Invoice ready in one click

    When all stops are marked complete, the job moves through to "Ready for Invoice." Click "Promote to Invoice" and a draft invoice is generated with the job details, route description, and pricing already filled in.

  • 7. Invoice sent → Customer pays

    Review the invoice, click "Email Customer," and a branded invoice goes out with a link to the customer's secure payment portal. Your team marks it "Paid" when payment arrives.

  • 8. Full visibility throughout

    While all of this is happening, your dashboard shows live KPIs — quotes, scheduled jobs, revenue, and invoice status — at a glance. Nothing is hidden, nothing requires chasing.
